Work is scheduled around how the building is actually used, so maintenance and repair cause as little disruption to daily operations as the job allows. Teams are supervised, and requests are tracked through a single account manager.
Supply against a work order or a tender lot
Institutional buyers rarely ask for a product. They issue a specification, a delivery window and a set of conditions, and they expect the supplier to meet all three. A supply order for HVAC chemicals and mechanical materials, for example, is written lot by lot, and a contractor can be awarded some lots and not others.
We have been awarded four lots of that kind in a government technology board tender, covering HVAC and mechanical materials, delivered against challans. Delivery windows on the orders we have received run from six to eight weeks.
What arrives with the goods
On a public supply order the paperwork is part of the delivery. A signed delivery challan confirms quality and quantity, a bill follows, and for repairs and installations a completion certificate is added. We also sign an undertaking that our prices are not above market, which public buyers commonly ask for.
Buyers commonly require the supplier to be on the FBR Active Taxpayer List, to quote in typed form, and to hold the quoted rates for a stated validity period. We work to those conditions as a matter of course.
Rate contracts for the things you keep re-ordering
Consumables are the items a department orders again and again: stationery, syringes, bleach, blinds, bulbs. Re-quoting each one wastes the buyer’s time and ours.
A rate contract settles the prices once for a year. We held one with a university research centre from June 2020 to June 2021, and it could be extended. The buyer orders from the agreed list and does not run a fresh quotation each time.
Supply with installation and testing
Equipment that arrives without an installer tends to sit in a store room. Where the order calls for it, we supply the item and also install, test and commission it, so the work order closes on one contractor instead of two.
The range is the same as the maintenance work: HVAC parts, electrical items such as copper cable supplied and erected, maintenance materials, and laboratory equipment supplied and repaired.
